NTB Treks & Expeditions Tours and Travels respect your privacy. Protection of your personal and confidential information is very important to us. We believe that, at all times, you should know what we do with your personal information. Our commitment to ensure the privacy and the security of the information you supplied is listed below. It will apply to any personal information you provide to us when making a booking with us via www.ntbtreks.com or www.fishtail.org  and under any other agreement or arrangement. This Privacy Statement will also apply to any information about you that is provided to us by someone else such as a travel agent, friends, relatives and people booking travel on your behalf.

WHAT PERSONALLY IDENTIFIABLE INFORMATION IS COLLECTED BY NTB TREKS & EXPEDITIONS TOURS? 

The types of personal information that we collect from you will depend on the circumstances of collection and on the type of service you request from us. These purposes include registering to receive e-mail newsletters, requesting further information about our trips, making a booking or simply asking a question about NTB Treks & Expeditions. When you request us to make your travel arrangements, we may collect details such as your name, address, flight and other travel details, credit/debit card number and expiry date, billing address, telephone numbers, dietary requirements (if any) and medical conditions relevant to your travel arrangements. As we are required by law to obtain your consent to the collection of “sensitive information” we will assume that you have consented to the collection of all information that is provided to us for use in accordance with this statement, unless you tell us otherwise.

HOW IS YOUR PERSONAL INFORMATION USED? 

When you supply information about yourself for a specific purpose, we use the information for only that purpose (i.e., to provide the service or information you have requested). If making a booking with us, additional information will be required for operational reasons.

We do not share, sell or rent information to any third parties. If you receive information from NTB Treks & Expeditions, it is because you have asked to hear from us, you have entered a competition and agreed to join our mail list or a friend/colleague has requested it on your behalf and you have confirmed this to us or we have contacted you through publicly accessible directories or databases.

SECURITY 

Personally identifiable information is stored on servers that are not publicly accessible. Further, personally identifiable information is only accessed by NTB Treks & Expeditions employees on a “need to know” basis. Credit Card details are not stored on our database when you book, or buy products on our site.

DISCLOSURE OF PERSONAL INFORMATION TO THIRD PARTIES 

We may disclose your personal information to third parties (for example, to our contractors to whom we outsource certain services), for the purpose for which the information was collected or for related purposes, for example to provide you with a service that you requested. Your information will also be shared between related companies in the NTB Treks & Expeditions where necessary to fulfill our purposes. We engage third party contractors to perform services for us that involve the contractor handling personal information we hold. For example, we currently engage third party contractors to:

• Organize and operate Treks & Tours
• Process travel bookings made via ntbtreks.com or www.fishtail.organd other our subsidiary online sites
• In these situations, we prohibit the third party contractor from using personal information about you except for the specific purpose for which we supply it.

Other than the above, we will not disclose your personal information without your consent unless disclosure is either necessary to prevent a threat to life or health, authorized or required by law, reasonably necessary to enforce the law or necessary to investigate a suspected unlawful activity.

Transfer of Information Overseas 

We may transfer any of your personal information to fulfill the purposes set out in this Privacy Statement to people in foreign countries, for example: Airlines, hotels and other travel and freight service providers. In most cases, the transfer will be necessary for the performance of our contract with you or for the implementation of pre-contractual measures taken in response to a request by you or for the performance of a contract with a third party which is concluded in your interests. Please let us know if you have any objections to such transfers.

NTB Treks & Expeditions uses cookies as you visit pages on NTB Treks & Expeditions website, to facilitate some functions. A cookie’s main objective is to identify users and personalize their visit by customizing web pages for them. GENERAL TERMS & CONDITIONS

PRICE

All the prices quoted are as per your choice as selected on the system at the time of submission and are correct but are subject to change without prior notice. As many components of tour packages are not NTB Treks & Expeditions Tours owned property, it may be due to taxes system, hike on flight price and other any reason which are beyond control of NTB Treks & Expeditions Group.

REFUND

All the tour & land arrangements which may be guaranteed are subject to NTB Treks & Expeditions Travels inability to provide the same as result of act of Government or such authorities, civil disturbances, strike as a result of any other causes beyond NTB Treks & Expeditions Travel’s control. NTB Treks & Expeditions shall incur no liability to provide any services confirmed if such inability is due to, any of the cause listed above and no refund shall be made on the part or full payments received by us.

TURN AWAY

In the unlikely event, the Hotel / Resort Safari camp booked is unable to accommodate reconfirmed reservation for whatsoever reason, the properties as booked shall undertake the responsibility of accommodating the business in alternative property of equal ranking as far as possible. Any extra expenses incurred during this process is not the responsibility of NTB Treks & Expeditions. NTB Treks & Expeditions will of course help in this process to the best of its ability taking the interest of principles in mind.

DEPOSITS

Reservation of hotel & other tour land arrangement are confirmed by NTB Treks & Expeditions subject to receipt of deposits. Advance payment of 50% of the total tour-land costs including Hotel must be received by NTB Treks & Expeditions at the time of service confirmation. Complete payment is to be made before 15 days unless prior credit arrangements have been made with us.

RESERVATIONS

Reservations may be made through online system/ e-mail, stating the services required. We take the undertaking process for this reservation and duly confirm the arrangements. The final reconfirmation is required as per the schedule under “Naming & Rooming list”.

CREDIT POLICY

Tour operators or travel agents interested in getting credit facilities from NTB Treks & Expeditions should make an application which shall be reviewed and the decision duly intimated to the applicant.

COMPLIMENTARY POLICY

For all the land tour arrangement, we will provide you one person complimentary on tour plan, for every 15 paying full guest in a tour. Complimentary or discount accommodation shall be made on a twin sharing basis not in a single occupancy basis.

TRIP CANCELLATION POLICY

The trip cancellation policy applies as follows:

• 45 days prior to Arrival 25 % of total invoice.
• 44 – 31 days prior to departure 35% of total invoice.
• 30 to 15 days prior to departure 45% of total invoice.
• 14-8 days prior to departure 60% of total invoice.
• 9 days 5 days prior to departure 80% of total invoice.
• Less than 5 days 100 % of total invoice.

Note:  The above cancellation rules may not be applied on various tours/ individual services booking where no show rules are in effect as- as flight, hotel booking services, Tibet and Bhutan Tour, Please kindly reconfirm cancellation and refund policy with us at the time of booking.

Our cancellation policy applies in every instance. There will be no exception for any reasons therefore we strongly recommend that you purchase trip cancellation insurance. This low cost insurance protects all deposits and payments should you have to cancel your trip due to personal or family illness. Should you or anyone in your choice purchase this insurance, please deal directly with the insurance company. Baggage and accident insurance are also available.

EXTRA COSTS

Round trip airfares from your starting location and back, some city meals, passport and visa fees, tips for guides and trek staff, any medical check-ups, treatment, evacuation and immunization, insurance of any kind, excess baggage charges, airport taxes and any other items of a personal nature are not included in land costs.

AIRLINE CLAUSE

The airlines are not to be held responsible for any act of omission or event during the time passengers is not on board their planes or conveyances. The passenger contract in use by the airline, when issued shall constitute the sole contract between such purchase of these tours and or passenger. Such contracts are subject to the laws of the countries involved.

YOUR FINAL AGREEMENT

By making reservations with NTB Treks & Expeditions or its associates and depositing your advance payment with us, our agents or representatives, you agree to each of the foregoing terms and conditions and agree that you are thereby bound. You also acknowledge that you have carefully read and understood the foregoing terms and conditions.
